Definition

Users is a Setup page that displays all user records in the org and provides tools to create, edit, freeze, and deactivate user accounts. It shows each user's name, username, profile, role, license type, and active status, serving as the central hub for user management.

Real-World Example

The admin at Forge Dynamics opens the Users page to onboard five new sales hires. She clicks "New User" for each, assigns them the Sales Cloud user license and "Sales Representative" profile, sets their role to the appropriate regional team, and sends them welcome emails with login instructions. The entire onboarding takes 15 minutes.

Why Users Matters

The Users page in Salesforce Setup is the central hub for managing every user record in the organization. It displays a list view of all users with key information including name, username, profile, role, license type, and active status. From this page, administrators can create new user accounts, edit existing ones, freeze accounts to temporarily block login access, reset passwords, and deactivate departing employees. It also supports inline editing and the ability to log in as another user for troubleshooting purposes, making it the most frequently visited Setup page for most administrators.

As organizations grow to hundreds or thousands of users, the Users page becomes a critical operational control center. Administrators need efficient workflows for bulk onboarding during hiring waves, prompt deactivation during layoffs or terminations, and regular audits to identify inactive accounts consuming paid licenses. Without disciplined user management practices, orgs accumulate ghost accounts that inflate license costs, create security risks from orphaned access, and distort adoption metrics. Establishing standard processes for user lifecycle management, from creation through deactivation, and maintaining clean user data is foundational to both compliance and cost optimization.

How Organizations Use Users

  • Forge Dynamics — Forge Dynamics' admin onboarded five new sales hires through the Users page in 15 minutes. She clicked New User for each, assigned Sales Cloud licenses with the Sales Representative profile, set appropriate regional roles, and sent automated welcome emails with login instructions. The streamlined process replaced a previous paper-based workflow that took two days per user.
  • Summit Enterprises — Summit's admin used the Users page to run a quarterly license audit by filtering for active users who had not logged in within the past 90 days. She identified 28 inactive accounts, confirmed with department heads that those employees had left or changed roles, and deactivated them, reclaiming licenses worth $33,600 annually.
  • Crestline Manufacturing — During a restructuring, Crestline's admin needed to immediately freeze 12 user accounts while HR finalized termination decisions. Using the freeze functionality on the Users page, she blocked login access within minutes without fully deactivating the accounts, preserving record ownership and allowing a controlled transition of data ownership over the following week.
